We maintain a quarterly cost data update cycle and cross-reference against actual project buyout results to refine our unit cost assumptions. Every estimate includes a detailed quantity takeoff with independent verification by our QA team before submission.

Transparent Assumptions

Every estimate includes a complete assumptions and exclusions document. We clearly state what is included, what is excluded, and what was assumed during the takeoff process. This includes assumed labor productivity factors, material escalation provisions, and crew composition. No hidden assumptions — if it is not in the estimate, it is documented as an exclusion.

Ethical Estimating Standards

We adhere to the American Society of Professional Estimators (ASPE) Code of Ethics and the CSI MasterFormat 2022 standard for estimate organization. We do not participate in bid shopping, do not share confidential bid information between contractors, and maintain strict confidentiality agreements for all client estimating data. Our estimators are bound by a professional code that prioritizes accuracy over winning bids.

Data Security & Confidentiality

All project documents, drawings, specifications, and estimate files are stored on encrypted servers with multi-factor authentication. We sign NDAs upon request and maintain client data segregation. Estimate files are retained for 3 years per our data retention policy and then securely destroyed. We do not use client project data for marketing without explicit written permission.

Quality Assurance Process

Every estimate goes through our 8-point QA checklist before delivery. Our QA reviewer verifies quantity takeoff accuracy, unit cost alignment with current market data, labor productivity factor selection, waste factor application, scope gap analysis against specifications, escalation assumption documentation, and final math verification. Estimates under $500K are single-reviewed; estimates above $500K receive dual independent review.
